Free cleaning business calculator

Find your real labor cost and break-even rate.

Start with an hourly wage, then account for employer-paid costs, non-billable paid time, and overhead. The result is a cost floor per billable cleaner-hour—not a guessed market rate.

Build an hourly rate from your records.

Use one currency consistently. Results are per billable cleaner-hour: two cleaners working three on-site hours produce six billable cleaner-hours.

Transparent method

What each result means.

01

Loaded paid hour

Base wage × (1 + employer burden). Enter only employer-paid costs that scale with wages, and avoid counting the same cost again in overhead.

02

Billable labor cost

Loaded paid-hour cost ÷ (1 − non-billable share). Paid travel, setup, training, and admin time can make each billable hour consume more paid labor.

03

Break-even rate

Billable labor cost + monthly overhead ÷ monthly billable cleaner-hours. At this rate, the model has no planned operating profit.

04

Target-margin rate

Break-even rate ÷ (1 − target margin). Margin is a share of the selling rate, so adding the percentage directly would produce a smaller margin.

Input checklist

Use current business numbers.

The calculator makes the math auditable, but it cannot tell whether an input is complete or suitable for your business.

What belongs in employer-paid burden?

Use the employment costs your business actually owes in addition to base wage and that you intentionally model as a percentage of wage. The categories vary by business and location; verify them with current records and qualified local guidance.

What is non-billable paid time?

It is paid time that cannot be billed directly as a cleaner-hour, such as some travel, setup, meetings, training, or administration. Estimate it from time records rather than using the default.

What belongs in monthly overhead?

Include recurring business costs you want this model to allocate across billable cleaner-hours. Avoid double-counting costs already included in wage burden or charged directly to a job.

Is the target rate the final job price?

No. A job quote may also need supplies, travel, job-specific fees, scope risk, taxes, minimum charges, and client-facing rounding. Use the complete job calculator to model those items.

Does this guarantee profit?

No. Actual utilization, time, rework, cancellations, omitted costs, and scope changes can reduce or eliminate profit. This is an educational planning tool, not accounting, tax, legal, employment, or profit advice.

Turn the rate into a job quote

Keep the cost floor visible when scope changes.

CleanQuote’s free job calculator combines cleaner-hours with supplies, travel, overhead, add-ons, and margin. The editable workbook adds reusable presets, a printable client quote, and an actual-versus-quoted job log.
